Privacy Policy

Clipboard helps baseball coaches and athletes manage scheduling, programs, messaging, and performance data. We collect account information (name, email), organization membership, athlete profiles, booking and program activity, and messages you send through the app.

We use this data to operate the service, send transactional emails and optional notifications you enable, and improve the product. We do not sell personal information.

Payment processing is handled by Stripe; we do not store full card numbers on our servers. Data is stored in secure cloud infrastructure with access controls appropriate to each role (coach, athlete, owner).

You may request access, correction, or deletion of your account data by contacting support@clipboard.coach.

Children’s Privacy

Clipboard is used by youth athletes, including athletes under 13. We treat information about minors as sensitive and collect as little of it as the service allows.

What we collect about an athlete

First and last name, an email address, and optionally a parent or guardian email and phone number. Coaches may record graduation year, primary position, and whether the athlete throws or bats left or right. The service records lessons booked and attended, training programs assigned and completed, performance measurements uploaded by a coach from equipment such as TrackMan, Rapsodo, or HitTrax, videos uploaded for coaching review, and messages exchanged in the app.

We do not collect date of birth. We do not collect precise location, we do not use tracking for advertising, and we do not serve behavioral advertising to anyone.

Parental consent

An athlete under 13 must be registered by a parent or legal guardian, who agrees to this policy at account creation. Where a coach adds an athlete to a roster, the invitation is sent to the parent or guardian email on file, and the account is not active until that invitation is accepted.

We do not condition a child’s participation on providing more information than is reasonably necessary to take part in coaching.

Parent and guardian rights

A parent or guardian may, at any time, review the personal information we hold about their child, request that we correct it, request that we delete it, and refuse to permit further collection or use of it. Exercising the right to refuse further collection may mean the athlete can no longer use the service, because scheduling and coaching records are what the service is.

To make any of these requests, contact support@clipboard.coach from the parent or guardian email associated with the athlete. We will verify the request before acting on it.

Sharing

An athlete’s information is visible to the coaching staff of the organization they belong to, and to the parent or guardian associated with the account. We do not sell personal information, we do not share it with third parties for their own marketing, and we do not disclose it to other organizations on the platform.

We use service providers to operate Clipboard: cloud hosting and database infrastructure, Stripe for payment processing, and an email provider for transactional messages. Where a coach uploads a spreadsheet of performance measurements, columns that identify a person are removed before any automated parsing service processes the file.

Retention

We keep an athlete’s information for as long as the account is active with an organization. When an account is deleted at the request of a parent or guardian, we remove the athlete’s profile, uploaded videos, performance measurements, and messages. Records we are required to keep for financial or legal reasons, such as payment receipts, are retained separately from the coaching record.
